Handling of Personal Information
Nikken Sekkei Construction Management respects personal information and is aware of the necessity to protect and manage it in an appropriate manner. Based on this recognition, personal information shall be protected in line with the following policy:
(1) Personal information shall be acquired in an appropriate manner.
(2) All personal information provided by a person shall be handled within the scope of the purpose of use, which is identified to the person.
(3) No personal information shall be provided or disclosed to third parties by the Company, except in the following cases:
– when the consent of the person is obtained; or
– when the provision of information is based on laws or allowed by laws.
(4) The correctness of personal information shall be maintained and securely managed.
(5) The Company shall comply with all laws and regulations governing the handling of personal information. The Company maintains an internal personal information protection system which is reviewed and updated as required.
Handling of Personal Recruitment Information
Information Handling Policy
For the purpose of appropriate protection and use of personal information received during the recruitment process, Nikken Group complies with all laws and regulations governing the protection of information. In addition, Nikken Group shall strive to continuously improve our internal personal information protection system and approaches taken for this purpose.
Definition of Personal Information
Personal information is defined as information directly relating to an individual that allows them to be identified, such as name, birthdate, address, phone number, and e-mail address (including any information that cannot identify an individual by itself, but can be easily combined with other information to identify an individual).
Collection of Personal Information and Purpose of Use
(1) Nikken Group will only acquire and use personal information for the following purposes. Information will only be collected directly from an individual or with the consent of the individual using legal and fair methods.
- For notification of or registration for seminars
- For notification of company information
- For recruitment notification
- For registering interest in employment
- For employment selection
- For confirming skills and experience to determine competence for a position
- For office processing such as contact details for employment selection
- For notification of ceremonies for prospective employees, employment health checks, and other events.
- For workforce management after employment
(2) When Nikken Group is utilizing personal information for the purposes of recruitment and the person concerned notifies us that the application is withdrawn, the use of personal information will also cease from that point.
Management of Personal Information
Nikken Group shall manage personal information under a fully-equipped internal management system operated by thoroughly trained staff to ensure that acquired personal information is not lost, destroyed, falsified, leaked, or subjected to unauthorized access.
Provision of Personal Information to a Third Party
Nikken Group will not provide or disclose personal recruitment information to third parties, other than to recruitment outsourcers (described in the next item) without prior consent of the individual concerned, unless required to by law.
Outsource Management
Nikken Group will ensure that any outsourcers employed for a part or the entirety of recruitment activities (such as processing personal information, sending documents or emails to applicants, and carrying out questionnaires) are fully aware and compliant with this Privacy Policy.
Handling of Personal Information of Business Partners and Fee Payers
(1) Definition of Personal Information
Personal information is defined as information directly relating to an individual that allows them to be identified, such as name, birthdate, address, phone number, and e-mail address (including any information that cannot identify an individual by itself, but can be easily combined with other information to identify an individual).
(2) Collection of Personal Information and Purpose of Use
Nikken Group will only acquire and use personal information from business partners of Nikken Group and fee payers for the following purposes. Information will only be collected directly from an individual or with the consent of the individual using legal and fair methods.
(a) For payment of fees
(b) For sending an invoice, receipt, or other necessary documents
(c) For performing work associated with the tasks stated in (a) and (b) above
(3) Management of Personal Information
Nikken Group shall manage personal information under a fully-equipped internal management system to ensure that acquired personal information is not lost, destroyed, falsified, leaked, or subjected to unauthorized access.
(4) Provision of Personal Information to a Third Party
Nikken Group will not provide or disclose personal information to third parties without prior consent of the individual concerned, unless required to by law.
